Manual request processing and no single overview

Requests received through the registry office were processed by hand, with paper documents and separate records. Staff had no single view of how many requests had been received, resolved or were still pending, or of their current status.

This made it harder to follow the processing flow, the workload of individual departments and overall efficiency. Management needed up-to-date data on requests, rather than information pieced together afterwards from manual records.

Solution

Electronic processing workflows and reports

Processing of specific forms and requests received through the registry office was automated within TQORE DMS. Electronic processing workflows were defined, case status tracking was enabled, and reports on request completion can now be generated.

Request status is now tracked in the system, and reports show the number of received, resolved and pending cases. The data needed to follow processing and completion is available in one place.

Result

A clear view of requests and more control over processing

Request processing is faster and the need for manual record keeping has dropped. Staff and management can see the number of received, resolved and pending cases, along with their status. Up-to-date completion data makes it easier to monitor work and respond in time.

The institution no longer has to compile a processing overview from separate manual records: status and completion information is available through the system and its reports.
